Complete the form
Find and complete the ProviderOne access request form in two ways:
- Open the provider welcome letter you received when you were approved (by mail or email) and complete the ProviderOne User Access Request form. Contact information and instructions are listed on the form.
- Go to the online ProviderOne contact form for providers and select "ProviderOne Access Request Form" from the Topic dropdown. Complete all required fields on the form and submit.
Your welcome letter will provide your 7-digit ProviderOne ID number, also known as your domain number. Your ProviderOne Id is needed for first time login.
Get your credentials
HCA’s ProviderOne Security team will send confidential login credentials by email to the person named on the form assigning the system administrator profile.
These credentials are sent in two separate emails. The emails include a login ID and temporary password.
Log in for the first time
Check to make sure your date of birth and last name are correct on the user detail page when you first access ProviderOne. This ensures that the correct information will be in the system if you ever forget your login information.
- Go to the ProviderOne portal and enter the domain number, login ID, and temporary password provided in your emails.
- Follow the screen prompts to choose your security questions and answers, and new password.
- When you hit Save, a message will pop up telling you your password has been updated.
- You will be returned to the provider portal logged in with the EXT Provider System Administrator profile.
You must add other profiles to your account in order to submit claims or perform provider maintenance activities.
Add profiles and users
HIPAA compliance requires that each person logging into ProviderOne have their own user account with their name, date of birth, and individual email address.
System administrators are responsible for adding profiles to their own account and setting up new user access. They are also the primary contact for individual user lockouts.
Things to know
- The only access you have when you first log in is to the Maintain users portion of the portal under the Admin section.
- Assigned profiles control what areas of ProviderOne a user can access.
- When setting up a new user, it is important to verify their information is correct (e.g., date of birth). This information is used to unlock accounts.
- A backup system administrator can be added to assist with account management.
- Users will be referred to their system administrator for any profile additions or user access issues.
- Users can be end-dated or locked as needed.
Use the instructions for adding new users and follow the steps to add additional profiles to individual user accounts.
Unlock accounts
To unlock your ProviderOne account, go to the ProviderOne login page. Under the login button:
- Press To Unlock Account and Reset Password, Click here.
- You will be required to correctly answer the password reset questions before a temporary password will be sent to the email address in your user file. Security questions are:
- Secret questions (case sensitive)
- Date of Birth (mm/dd/yyyy)
- Last name (case sensitive)
- Press the Recover Pwd button.
If you get an error message saying your security questions are incorrect:
- System administrators - use the appropriate online form to contact us:
- Individual users who are not system administrators:
- Contact the system administrator within your organization for assistance.
If you are the sole system administrator of your domain, ProviderOne Security can assist with unlocking your account or resetting a password.
If there are additional system administrators within your organization, you will be referred to them for assistance.
Replace system administrators
Any acting system administrator can add the EXT Provider System Administrator profile to an existing user or create a new user account with the administrator profile. If the previous administrator is no longer with the organization, submit the ProviderOne User Access Request form and a letter on your organization’s letterhead.
- The letter must state that the current system administrator (with their name) should no longer have access to ProviderOne.
- The letter must be signed by an office manager or provider that is not the same person requesting access.
- Contact information and instructions are listed on the form.
HCA’s ProviderOne Security will expire the access of this individual and assign confidential login credentials to the person named on the form as the new system administrator. The login credentials will be sent in two separate emails to the individual email address listed on the new ProviderOne User Access Request form.
OneHealthPort (OHP) access
OneHealthPort (OHP) is a single sign-on (SSO) portal allowing access to multiple payers, including ProviderOne. If you are using this access, you will have the letters OHP before your login name.
- OHP roles map to the EXT System profiles available if accessing directly through ProviderOne. Use the profiles document for assistance with OHP roles.
- Login or contact OHP directly for assistance.
