How to Obtain Access to the Health Record Bank Project - SharePoint Site

Health Record Bank SharePoint Site User's:

The Washington State Health Care Authority is sponsoring a project management service for the Health Record Bank Pilot project through another state agency, Department of Information Services (DIS). The service is called DIS Enterprise SharePoint Service and is the state government version of Microsoft's SharePoint, hosted on the Washington State government network (SGN). Because it is hosted on the SGN, a secure inter-governmental network, we need you to go through the following steps to obtain a secure user id and then request access to the project SharePoint site, sponsored by the Health Care Authority.

To access the project SharePoint site, register for a Secure Access Washington (SAW) user account and then subscribe to the DIS Enterprise SharePoint Service Offering, using the following steps:

Create and Sign-up for Secure Access Washington User ID:

  1. Go to https://secureaccess.wa.gov/. Select “Start”.
  2. At the next screen prompt, enter requested personal information. Select “Next”.
  3. At the next screen prompt, enter a user ID and password. Select “Next”.
  4. At the next screen prompt, verify that all information entered is correct. You may want to print this page for future reference so you can remember your User ID and Password. When done, select “Next”.
  5. At the next screen prompt, enter the security code as seen in the box. Select “Submit”.

The system will then generate an email to you. Go to your email inbox and check for new messages.

Activate Secure Access Account:

  1. Click on the linked text provided in the email to “activate” your account.

Now that you have obtained a Secure Access User ID and activated your account, the next steps will require you to go back into Secure Access Washington and request access to the DIS Enterprise SharePoint Service and then request access to the Health Care Authority (HCA) Health Record Bank (HRB) Pilot Project site.

Sign-up for New Service (DIS Enterprise SharePoint):

  1. Return to https://secureaccess.wa.gov. Enter your User ID and Password. Select “Login”.
  2. The next screen prompt will have two tab options – one labeled “My Services” and one labeled "Add a New Service”. Select the tab labeled “Add a New Service”.
  3. The next screen will ask you to “Select an agency below to see a list of services:” and next to that, a box under “Service code” where you can enter a code, if you have been given one. Enter “SP” for the Service code and select “Apply”.
  4. The next screen prompt will be titled “Service Registration”. Enter required information and select “Register”.
  5. The next screen prompt will inform you if you have been successful in registering for the DIS SharePoint Service Offering.

The system will generate another email to you. Go to your email inbox again and check for new messages.

Request Access to SharePoint:

  1. Click on the linked text provided in the email to “access” your account. (The system will take you back into Secure Access Washington.
  2. At the next screen prompt, select “DIS SharePoint Service Offering” under the tab titled “My Services”.
  3. You will then be prompted to enter your User name and Password for sharepointext.dis.wa.gov.
  4. The next screen prompt will be the main DIS SharePoint Services site.

Request Access to Health Care Authority (Health Record Bank) Project SharePoint site:

  1. Change URL to: https://sharepointext.dis.wa.gov/hca/hrb
  2. You will receive an “Error: Access Denied” page. You will have access to two options on this page. Select the linked text labeled “Request access”.
  3. At the next screen prompt, request access to the HCA Health Record Bank project SharePoint site.

The system will then generate an email to the Health Care Authority Help Desk team, notifying them that you have requested access. They will enter your SAW user id into our HCA SharePoint site which will generate an automated email to you, the user, letting you know you have been granted access. Note: HCA Help Desk is staffed Monday through Friday, 8 a.m. – 5 p.m.

Access Health Care Authority (Health Record Bank) Project SharePoint site:

  1. Click on the first linked text provided in the email to “participate” in your SharePoint account (i.e., site). Please disregard the second link provided in the email.
  2. Now that you have successfully accessed the HRB project SharePoint site, please add this URL to your “favorites” list in your browser for future access, https://sharepointext.dis.wa.gov/hca/hrb.
